Clubs and associations have existed for centuries. They’re groups formed for a common purpose or based on a common interest, such as

Clubs and associations typically have elected or appointed officers who are responsible for the day-to-day management of the group’s activities. One of those officer positions is the treasurer, whose primary role is to manage the financial aspects of the club and provide financial information to club/association officers and members. To do so, a bookkeeping solution of some sort is required.

Built specifically for clubs and associations, Aplos provides all of the features those organizations would need in terms of membership management, accounting, budgeting, reporting, and tax prep. Like MoneyMinder, it’s easy to use, but it does cost a little more.

3. Nonprofit Treasurer. Best accounting software for small nonprofit clubs and associations. Nonprofit Treasurer is inexpensive and ideal for small nonprofit clubs and associations that just need the basics without features like membership management or extensive tax help.

Features important to clubs and associations

Income and expense tracking
The Pro version of MoneyMinder accounting software, which is still cost-effective overall, provides the bookkeeping features needed by most clubs and associations to track income and expenses. Users can enter and reconcile income and expense transactions; a bank integration upgrade, which costs a little more, can be helpful with direct transaction downloads, allowing the user to verify the income and expense categories quickly before saving.

Budgeting
The user can either choose a template or create a custom budget for an organization through MoneyMinder. Budgets are available in both MoneyMinder Free and MoneyMinder Pro, but more features are available in the Pro version.

Reporting
Easy but robust reporting features in MoneyMinder Pro help club or association treasurers maintain transparency in communicating financial information to stakeholders. MoneyMinder Free also includes several basic reports that should be enough for smaller clubs and associations. MoneyMinder includes integrated communication tools and translation options, as well.

Year-end audit and tax prep
The free version of MoneyMinder doesn’t help with auditing and tax preparation, but the Pro version does include this, and MoneyMinder calculates 990EZ totals.

Membership/donor management
MoneyMinder provides management of members’ information. Membership dues can be collected and membership information organized by level, such as individual, group, or organization. It helps users track which members’ dues and donors’ pledges are missing, as well, and integrates with Stripe and PayPal for dues and pledge collections.

One important drawback of MoneyMinder is that it requires year-end closing before transitioning to a new year. Some users don’t like this because it’s challenging to see who still owes pledges or dues after closing.

Other features
A helpful feature to consider is MoneyMinder’s ability to track and report volunteer participation by event. This information can be particularly useful when you’re preparing for a new fundraising/programming year and need to decide which events to keep and which to eliminate.

Ease of use:
MoneyMinder is designed for volunteer-driven organizations, so no accounting experience is required to learn and use the software. Excellent user documentation contributes to its usability.

Cost:
MoneyMinder offers two options: Free and Pro. The free package includes budgeting and membership tracking only, which may be enough for a small club. The Pro option isn’t terribly expensive, and it’s paid by the year. It offers significantly more features, from bookkeeping to end-of-year auditing and enhanced support. As noted above, bank integration does cost extra.

Aplos software provides true fund accounting and a choice between accrual or cash accounting methods, a good invoicing workflow, and secure online payments. Aplos includes accounts payable and accounts receivable functions, along with payroll integration with Gusto (requires an upgrade).

Budgeting
Aplos features good budgeting options, including organizational, tag-based, and dimensional options. This flexibility is important for clubs and associations that need to manage both an overall organizational budget and smaller budgets, such as departmental or project-specific. Budget line items can also be automatically spread across a 12-month period or entered directly for each month.

Reporting
Aplos includes good reporting features, including income statements, balance sheets, budgeting, and donation reports, among others. Customized reports can be saved for quick future access and use.

Year-end audit and tax prep
Preparation of 1099s is part of the bookkeeping services upgrade. Aplos also offers IRS Form 990 Software to help you prepare and submit returns for your organization (990-N postcard, 990-EZ and 990-EZ). If your club or association has annual revenues over $200,000, you’ll probably want to consult an accountant for help with Form 990.

Membership/donor management
Aplos was built specifically for clubs and associations, so its features are spot-on, including membership management. Important membership management features include a directory and the ability to track information by member. Member tracking can be done by active/inactive status, payments, events, and donations.

Aplos software’s member portal is a helpful feature and includes user-level permissions with Aplos Advanced Accounting. The membership portal provides scheduling and signup tools, along with attendance tracking, for meetings and events. Attendees can register and pay online.

Members can also work together and communicate online through the built-in group messaging and communication tools.

Other features
Aplos allows secure document storage for items such as meeting minutes and agendas. The website development feature might appeal to some organizations.

Ease of use:
No accounting experience is necessary to use Aplos, and Aplos provides helpful support and training to users at any level. If you don’t want to do it yourself, Aplos offers bookkeeping services for an additional fee.

Cost:
The most basic Aplos plan still includes the vast majority of features that clubs or associations would need. The most advanced plan adds user-level permissions and some nice-to-have features. Aplos does offer a free trial to let you evaluate the software for yourself.

Best for:
As the name suggests, Nonprofit Treasurer was built specifically for use by nonprofit treasurers and is a good choice for small clubs or associations that don’t need robust functionality.

Features important for clubs and associations:

Income and expense tracking
Nonprofit Treasurer features basic income and expense tracking by categories. Categories can be set up at any time, but most clubs and associations have similar income and expense categories each year, so it’s likely you’ll set up most of them during your initial on-boarding with Nonprofit Treasurer. As additional income and expenses occur, you can easily add those categories to your options. Nonprofit Treasurer also allows pass-through categories, which are zero-balance categories like petty cash.

Budgeting
Budgeting in Nonprofit Treasurer is a breeze. As you add your budget amounts to your income and expense categories, the budget summary automatically adjusts, showing you your projected totals for the fiscal year. You can even plan ahead for the next fiscal year, if you want.

Reporting
Nonprofit Treasurer includes easy monthly and year-end reporting capabilities based on the organization’s fiscal year. The reports are simple and generated by a single click; they’re rendered as PDFs, and are, therefore, not customizable. However, the report options are plenty for a small school-based club or parent-teacher type organization.

Year-end audit and tax prep
Currently, Nonprofit Treasurer does not offer any audit or tax preparation reports, specifically. The Income and Expenses reports will provide you with what you need, but it isn’t organized according to IRS Form 990.

Membership/donor management
Nonprofit Treasurer currently doesn’t have any membership or donor management features, but it’s not really designed for that purpose. If you have a small club or association for which it’s easy to determine who has paid dues or made donations, Nonprofit Treasurer is still a good overall solution.

Other features
Nonprofit Treasurer allows for convenient bank transaction imports to the general ledger. It accepts payments via Braintree (powered by PayPal), but the transaction fees are hefty.

Ease of use:
Nonprofit Treasurer is very simple software that requires no accounting experience. The setup process is super-quick, and the software builds a chart of accounts as you work.

Cost:
Nonprofit Treasurer’s Pro version (the most comprehensive) is free for all nonprofits. For clubs and associations that don’t qualify for the free-for-nonprofits version, there is a scaled-down free version available. The Basic and Pro plans incur a monthly or discounted yearly fee while some additional functionality.

Things we liked:

  • Split transactions are difficult to enter

4. YourMembership

Best accounting software for professional associations.

Best for:
YourMembership is primarily a membership management solution that is designed for professional membership associations, small to medium nonprofit associations, small to medium religious/faith-based organizations, and K-12 schools with limited staff members. It includes enough accounting functionality to make this list.

Features important for clubs and associations:

Income and expense tracking
Accounting functionality includes integrated payment processing and recurring payments for subscriptions. Some membership associations will appreciate the split bank account functionality for deposits in that, for example, funds from membership purchases and event registration or inventory items can be deposited into separate accounts. Users with substantial income and expense tracking requirements may choose to use a QuickBooks Connector tool to transfer data from YourMembership to QuickBooks Online.

Budgeting
Because YourMembership was developed as a membership management tool, and not as an accounting tool, it doesn’t have a good built-in budget functionality. If this is important to you, you could consider using the QuickBooks Connector to manage your budget in QuickBooks Online.

Reporting
Reports can be scheduled to send automatically by email daily, weekly, or monthly. Reports can be generated from multiple aspects of membership (growth, retention, engagement), registrations, attendance, and so on.

Year-end audit and tax prep
YourMembership doesn’t include any end of year audit or tax prep assistance at this time. Standard income and expense reports should help you or your accountant with these tasks.

Membership/donor management
YourMembership’s membership management is feature rich with a built-in auto-renewal function, automatic invoicing, a self-service member portal, flexible membership options (e.g., individual, group, etc.) and scheduled reports capability.

Other features
YourMembership is an all-in-one platform for essential features needed by a club or association such as membership management, event management, website development and integration, and accounting.

The event management functionality is impressive with a customizable, flexible registration interface and flexible pricing options, such as coupons, early purchase discounts, members-only prices and so on. The software can send out automated reminders and other communications about the event. There is even badge printing capability, as well as the ability to create reports on registrations, attendance, etc.

Building an integrated website is easy through YourMembership, and this feature incurs no additional fees. The website feature comes with eCommerce tools for accepting pledges, donations, and coupons; and calculating taxes and shipping. YourMembership also helps with developing an online community with a jobs board, social networking, blog hosting, and poll/survey features.

Ease of use:
YourMembership can be challenging to set up and use because of the wide range of options and functions. Features can be difficult to find, and navigation can be clunky with too many clicks, so it’s not exactly intuitive. However, the dashboard is customizable.

Cost:
YourMembership doesn’t publish pricing information on its website, and users report it’s not cheap. There’s no free trial available, but interested parties can request a free demo.

Clubs and associations that don’t want to pay a monthly subscription fee may be interested in Bookkeeper, a desktop double-entry accounting program that advertises itself as having QuickBooks functionality without the price tag.

Features important for clubs and associations:

Income and expense tracking
Bookkeeper includes invoicing and sales and expense tracking. The chart of accounts is customizable. Bookkeeper allows for bank and credit card transaction downloads, but these aren’t automatic. Payroll is built-in and includes tax calculations. Bookkeeper provides customizable estimates and invoices, along with a recurring invoice feature and an option to include a PayPal.me link on invoices.

Budgeting
Bookkeeper provides a simple budgeting feature with monthly and annual views. As you track your income and expenses, Bookkeeper updates the budget, and the Budget report shows you where you are.

Reporting
Bookkeeper provides many customizable reports—over 125 total reports and charts. Most small clubs and associations only need a handful of reports, so this may be overkill.

Year-end audit and tax prep
Bookkeeper helps with monthly, quarterly, and annual tax preparation and includes tax forms, tax tables, and support for W4 forms. You may incur additional fees for annual tax table upgrades, however.

Membership/donor management
Bookkeeper doesn’t include much by way of membership or donor management features, which is okay if you’re a micro or small club or association that doesn’t need to be able to track who has submitted dues. If you’re a larger club or association, Bookkeeper might not be for you, unless you’re willing to track that information separately, such as in Excel or Google Sheets.

Other features
Bookkeeper provides inventory management, a good feature for sports clubs and parent-teacher groups. Fixed asset management can help organizations that need to track their assets.

Vendor and customer contact management is another helpful feature of Bookkeeper, and it will allow you to manage the accounts for multiple organizations, which is a feature that school-based club sponsors may find helpful.

Ease of use:
Bookkeeper’s wizard helps make installation and setup quick and easy. The software features simple dashboard navigation with workflow help. To-do lists, reminders, and job/project tracking help you stay organized.

Cost:
Bookkeeper is available for a very modest, one-time fee. However, there’s no free trial available.

AppFolio includes strong accounting features that were built specifically for the property management industry. With built-in invoicing and online payment processing, collecting HOA dues, regime fees, or fines is simple, and you can track information by property and in totality.

Budgeting
AppFolio allows you to create property-level budgets, but unless your HOA is managing properties for rental purposes, you probably wouldn’t develop a budget to that depth. The budgeting feature is powerful, though, and it’s easy to set up.

Reporting
Flexible, comprehensive reports can be emailed directly and automatically to board members and association managers or printed for review or to be mailed.

Year-end audit and tax prep
AppFolio doesn’t include any year-end audit or tax prep features, but it’s really not designed for that.

Membership/donor management
AppFolio includes a homeowner and board member database that allows you to track who owns which properties, monitor whether the owners have paid their HOA dues or regime fees, and identify who owes or has paid fines. The homeowner and board member database also allows the board to communicate directly with the homeowners, share documents between parties, and track architectural reviews.

Other features
Overall, AppFolio is really a property management tool. It’s on this list because it has fantastic accounting tools for a large homeowner association, and its built-in association management tools make it difficult to ignore.

Ease of use:
AppFolio provides custom training to get you started. The mobile app allows property managers to enter maintenance requests and violations immediately, so there is no paper/pencil/clipboard tracking that then has to be entered manually.

Cost:
Cost is based on the number of units per month. The Plus Plan is only slightly more than the basic plan but adds significantly more features: strategic account management, performance insights, configurable workflows, revenue management, and data export function.

Things we liked:

  • Intuitive navigation
  • One platform for all HOA needs

Reporting
Reports are comprehensive and customizable. Araize FastFund’s standard reports include everything you’ll need, including trial balance, general ledger, and lists. And, all reports can be exported to Excel and PDF, along with other common formats.

Year-end audit and tax prep
FASB compliant reports make the end of year auditing easier. Araize FastFund features a strong audit trail and internal controls. Pre-defined reports provide Form 990 tax information to simplify the tax prep process.

Membership/donor management
An add-on fundraising module (additional cost) includes membership, volunteer, and donor management, along with donation, pledge, and in-kind management and automatic receipts. This add-on module also includes recurring donations functionality and pledge reminders, along with designated donation tracking.

Other features
A very nice feature is that Araize FastFund allows the merging of duplicate names. Other accounting packages make this process quite difficult, if not impossible. In addition, Araize FastFund allows for user-level permissions (for both groups and individuals) and read-only rights, as well.

Ease of use:
Araize FastFund allows you to import data to facilitate the setup process. The software is complex, so there’s a learning curve, but it’s manageable. In general, users report that it’s fairly intuitive once it’s set up.

Cost:
Araize FastFund offers two packages, Standard and Premium. It’s not the cheapest offering, but it’s not the most expensive, either.

Features important for clubs and associations:

Income and expense tracking
Membership Toolkit operates on a simple ledger system for tracking income and expenses. Online reimbursement management saves tons of time as compared to old-fashioned paper forms.

Budgeting
Membership Toolkit’s budget feature provides easy setup and tracking. The software automatically assigns invoices and expenses to categories in the budget. A treasurer’s report can easily be run so that board members and general members alike always know where things stand.

Reporting
Membership Toolkit includes comprehensive reporting capabilities, including revenue and expense reports, transaction reports, inventory reports, and membership lists, among others.

Year-end audit and tax prep
Membership Toolkit includes an end-of-year 990 report that maps your budget line items and, therefore, your income and expenses to the appropriate IRS Form 990 lines. There is some setup involved to make this report work accurately, but once you have it set up, it’s spot-on. And, while there aren’t any specific end-of-year audit features, Membership Toolkit’s focus on good record-keeping will likely set you up for success.

Membership/donor management
Membership Toolkit includes a membership database and dues tracking, membership reports, polls, and questionnaires and helps with the School of Excellence app and other state/national level awards. Excellent contact management allows members to sign up on the website and enter their own information. The software also allows volunteer sign-ups and tracking. There’s even a secure, built-in voting module to facilitate elections.

Other features
The online, built-in store—on a custom website—with credit card processing (and an optional swiper/card reader) is a very nice features for any PTA or PTO. Membership Toolkit also includes an inventory management feature, which is a rarity for platforms built specifically for PTAs and PTOs.

A comprehensive calendar function allows for strong event management capabilities, and built-in communication tools, including automatic reminders, thank you notes, and online newsletters—with receipt/open statistics—and online message boards help with outreach.

Easy, built-in fundraising options with Fundraising Campaigns and available fundraising experts to help are also key features of Membership Toolkit.

Ease of use:
Membership Toolkit is not exactly intuitive for non-PTA/PTO clubs and associations. Setting it up is time-consuming, but some imports are allowed if users are transitioning from other platforms, which cuts down on the total time required. Once it’s set up, it’s fantastic, but that makes it difficult to move away from, as well. Furthermore, Membership Toolkit has an excellent customer support team.

Cost:
Membership Toolkit offers an Essential plan that doesn’t include the accounting tools or the custom website. The Premium plan is a little more but does include those features. The only thing the Concierge plan seems to add is priority customer support.

There are also Enterprise plans available for multi-location/entity organizations.
